19 4.4 | Appropriate Use of Email
Email is not a secure form of communication and should not be used for conveying confidential or protected health information.
See http://www.dhcs.ca.gov/dataandstats/data/pages/listofhipaaidentifiers.aspx for a list of identifiers.
Client initials can be used as long as there is not enough information in the email to identify the individual. In addition, please use the subject line “Patient: Confidential” for these situations.
Email Signature: If you are provided with an IUPUI email account as part of your role with HANDS in Autism®, please use the email signature shown to the left (fig
4.4) and update as necessary when requested by your coordinator.
Email Etiquette: Your coordinator will be your primary contact person for any questions or issues. You
should copy Dr. Neal and Dr. Swiezy on your project correspondence. If you work on a specific project and need to contact a team member, see Section 6 for contact information.
Do not send unwarranted group emails, unless the email content is pertinent to the whole team.
If a team member needs to take action, place their email in the “To” box of the email. Carbon Copy (CC) those team members who do not have to take action, but may need to know about the progress, such as your coordinator, Dr. Swiezy, or Dr. Neal.
