Time Table of Tasks

Orientation (typically held the spring or summer before the academic year) IU Clinical Trainees Become familiar with program goals and objectives. Review Clinical Manual, Logistics & Travel Manual, and Required Reading for additional information.
AT LEAST 3 months pre-departure All Obtain passport. Must be good for at least 6 months after return.
3 months pre-departure All Obtain plane tickets to Nairobi online (e.g., through Kayak, Orbitz, etc.) or through a travel agent.

Obtain plane tickets from Nairobi to Eldoret through Jambojet. Allow for at least two hours between your arrival in Nairobi and your next flight. It is not permitted to take a car from Nairobi to Eldoret.

Obtain appropriate immunizations and malaria prophylaxis. Most insurance companies will only give a 1-month supply, so fill the malaria prescription twice before you leave, one month apart (or, call to get prior authorization from your insurance company for a 2-month supply).

AT LEAST 10 weeks pre-departure All Submit an AMPATH Kenya Visit Pre-Approval Form as soon as travel dates are known. Once your visit has been reviewed and approved, you will be prompted to begin any other required form(s) – see Six Weeks Pre-Departure tasks for more information.
AT LEAST 6 weeks pre-departure IU Students Complete all online iAbroad requirements.

AT LEAST 6 weeks pre-departure All Once you have submitted an AMPATH Kenya Visit Pre-Approval Form and your visit has been approved, you will be prompted to submit the remaining details of your visit in the Visit Details form. In this form, you may request lodging at IU House and will be required to submit important visit details such as your emergency contact information and copies of your passport and travel insurance card.
AT LEAST 6 weeks pre-departure Licensed Clinicians Licensed physicians, nurses, and physician assistants who expect to have any patient contact (for clinical or non-clinical purposes) and/or who will need access to clinical areas of the MTRH campus are required to apply for temporary clinical license. If this applies to you, you will receive a link to this application once your Visit Pre-Approval Form has been reviewed and approved.
1 month pre-departure All Register with the U.S. State Department’s Smart Traveler Enrollment Program (STEP)
1 month pre-departure All from IU Optional but encouraged: Attend refresher orientation with Jenny Baenziger, MD. Check Canvas for times and/or email Victoria Eder.
1 month pre-departure All Clinical Trainees Contact Team Leader(s) with arrival/departure dates and one paragraph describing your global health experience, future global health plans, and career goals.
2 weeks pre-departure All Download WhatsApp prior to arrival on whatever phone you choose to use while in Kenya. Make sure team leaders and Kenyan contacts are saved in your phone.

Let your credit card company and bank know the dates and locations of your travel.

If you haven’t already done so, return to your Visit Details form to upload copies of your international itinerary, domestic itinerary, and Kenya Electronic Travel Authorization (replaces entry visa requirement).

2 weeks pre-departure Students and Residents Payment for your housing is due before you arrive in Kenya. You will receive an invoice after your housing reservation has been confirmed. See budget for estimated costs. Make checks payable to “IIGH, Inc” or pay via PayPal to IIGH.Kenya@gmail.com.
0-2 weeks after return IU Students Download TimelyCare to access mental health services during your rotation. Please note that the app will not work if downloaded outside the U.S.
0-2 weeks after return All IU House guests other than students and residents An invoice for your housing costs will be provided to you upon checking out of IU House. See budget section for estimated costs. Make checks payable to “IIGH, Inc” or pay via PayPal to IIGH.Kenya@gmail.com.
3 weeks after return IU Students, Residents, and Fellows Complete debriefing assignments on Canvas (see Clinical Manual for guidelines). Attend 1-hour debriefing session with Jenny Baenziger, MD
8-10 weeks after return IU Students, Residents, and Fellows Get PPD at Campus Health or via your physician. Report positive results to Jenny Baenziger, MD (no need to report negative results).
