Library Communications

Canvas:

Each student worker is expected to check Canvas for announcements and inbox messages at least twice during each scheduled shift. Inbox messages in Canvas will be your primary method of communication, so be sure to set up your notifications accordingly.

You are expected to open and check Canvas at the beginning of every shift, as well as before you clock out. All messages, announcements, and assignments should be read, and responded to if needed, prior to doing homework or other projects.

IU Email:

Each student is expected to check their emails for official correspondence from IU Kokomo, as well as, other Library work correspondence. Email is the official means of communication for IU-affiliated individuals. Student Assistants are expected to routinely check their campus email.

Notices:

Occasional notices are posted on the Notice Board on the grey cabinet. Student Assistants are to read the notice and initial and date to indicate they have read the notice and understand it. Student Assistants with questions regarding a notice should ask the Access Services Supervisor.

Mailbox:

Each Student Assistant receives a shelf space designated as their mailbox. Here Student Assistants can find various notices given to all Student Assistants, copies of completed shift change forms, and other miscellaneous items. Each Student Assistant is responsible for keeping their mailbox clean and free of clutter, as well as cleaning up any messes or spills.

Phone list:

Refer to the phone list posted in Canvas and at the circulation desk for extensions for relevant service desks and employees, as well as cell phone numbers for all Library employees. Remember that employee cell phone numbers must only be used for work-related communication and must not be shared with users under any circumstances.

Teams:

When logging into circulation computers at the beginning of the day, Teams will launch for use throughout the day. Students are expected to familiarize themselves with the use of Teams for Library communications.

  • Teams will launch at start-up
    • If log-in credentials are requested:
      • Username: iuklib1@iu.edu
      • Password: [same password used to log on to circulation computers]
      • Duo will send a push notification to the Access Services Supervisor. If the Access Services Supervisor is not available, select Other Options and choose the number of another Library employee. Call that employee’s office or text them to let them know that you sent the push notification.
    • Display name is Kokomo Library – Circulation
  • To initiate a chat:
    • Click on the Chat icon on the Teams toolbar
    • Click on the New Chat symbol (or CTRL + N) and type in the name (or username) of the library employee OR select a recent chat with that employee
  • To receive a chat:
    • Click on the window that pops up on the bottom-right corner of your screen to maximize the chat window, or select Reply to write a quick response.
    • Chats will display on both circulation computers.
  • Before calling or referring a user to someone, check their status on Teams
    • If a user comes to the desk and asks for a specific employee in the library:
      • Ask if they have an appointment or meeting.
        • If yes, call to tell the employee that the person has arrived.
        • If no, send the employee a chat asking if they are available to come to the desk.
    • If a user comes to the desk with a research question when the RHD is closed:
