Routing and Shelving Library Materials

There are several different collections in the Indiana University Kokomo Library.  Many of them are housed on the 1st level.  It is important that materials that are both checked out and used within the library are shelved in the appropriate area.  The first part of this process starts with routing materials correctly.

Count of Materials Used in the Library

We keep track of the Indexes, Microfiche, Microfilm, Periodicals-Bound, Current Periodicals, Newspapers, and other non-barcoded items on a sheet attached to a clipboard. This clipboard can be found on the cart where the shelf-reading binder is.  The directions for recording are located at the top of the sheet of paper.

All items with a barcode should be recorded through Workflows under ‘Special’ > ‘Mark item used.’

Second Floor Collections

Bound – This collection is located on the 2nd floor of the library. This collection cannot be checked-out but their usage is still recorded. This collections usage should be recorded on the “Count of Materials Used in the Library” form.

Index – This collection is behind the Current Periodicals collection. This collection is recorded on the clipboard “Count of Materials Used in the Library” form. The directions for recording are located at the top of the sheet of paper.

Children’s— This collection is located on the 2nd floor of the library and is near the Special Collections room. Books shelved in the children’s collection will have a call number label with “Shelved in Children’s Literature” above or next to the call number (see example).

Newspapers – This collection is right next to the Current Periodicals. This collection does not have a call number, but it does have its own location. This collections usage should be recorded on the “Count of Materials Used in the Library” form. The newspapers are to be weeded and put in order on the weekends.

Current Periodicals — We also track the use of current periodicals on the “Count of Materials Used in the Library” form.  Current periodicals are not to be weeded on the weekends. Current Periodicals are sent off to the bindery once we have a completed set. For questions regarding current periodicals see the Technical Services Librarian or the Technical Services Assistant.  Periodicals are not available for checkout.

First Floor Collections

Writing Collection —This collection has a wide range of writing style subjects. The items that go in this collection will have a label that says ‘Writing Collection.’ If you have any questions regarding this collection please speak with the Technical Services Librarian.

Graphic Novels —This collection is shelved on the 1st floor of the library in the Lounge. This collection has a label “Shelved in Graphic Novels” below the call number (see example).

McNaughton (Bestsellers) — This collection is shelved on the 1st floor of the library and is indicated which collection it belongs in with the green label MN. The Bestsellers collection not only has Adult literature, but also includes Young Adult. The Young Adult collection is indicated by an orange label MN. This collection is shelf-read on Mondays.

Government Documents — This collection is located on the first floor and is shelf read on Wednesdays and Thursdays. In order to shelve Government Document materials, you need to be properly trained. This happens in the spring semester and is done by the Technical Services Librarian, Technical Services Assistant, and/or Library Assistant. If you have any questions regarding placement, or general inquires please see one of these people.

The Government Documents collection is the rotating shelves, the cases of Government Documents DVDs and CDs. There is also Government Document microfiche and microfilm. These are all indicated based on signage and labeling on the drawers. Some items in the Government Documents collection can be checked-out while others cannot. If an item cannot be checked out it will state that by “non-circulating” being stamped on it.

The loan period depends on the user and material type. Please see Loan Periods and Fine Schedule document.  Government documents use the Superintendent of Documents (SuDoc) Classification System, Student Assistants receive training in properly shelving these documents.

Maps — This is located on the first floor of the library, near the government documents rotating shelving. There are two map cases, one is non-depository maps (Indiana maps) and the other is depository maps (Maps). There are signs on both drawers indicating which is the Indiana maps and the regular Maps.

Microfiche — This is collection is in the white drawers located on the first floor facing the Circulation/Research Help Desk. This collection’s usage is recorded on the “Count of Materials Used in the Library” form. If someone is wanting to know how to view these materials, please get the Access Services Supervisor to assist them.

Microfilm – This is collection is in the white drawers located on the first floor facing the Circulation/Research Help Desk. CDs – This collection is located within the big white drawers, across from the Government Documents collection. The CDs are labeled differently than the Oversized CDs and should be shelved accordingly.  Library users may check out compact discs for up to 14 days.

DVDs – This collection is located in the Lounge. The discs are shelved behind the Circulation area and are in the drawers. When it comes to re-shelving DVDs, the disc needs to be put back into the drawer (LC call number order) and then the DVD case can be shelved (LC call number order) on the shelf. This collection is shelf-read on Tuesdays.  Student Assistants are to check out the DVD only after the disc has been located. Users may check out up to three DVD’s at a time; the loan period is seven days

The library offers users an assortment of media kits to check out. The Student Assistant must pay attention to the label on the front of the item, as this label indicates how many pieces come with the kit and what those pieces are, and all barcodes must be scanned. Media Kits may be checked out for seven days.  Users may have up to three media kits checked out at a time.

Games – The library offers an assortment of board games. Games are not for check out. They are for library use only. They are located just outside the Lounge, behind the DVDs, beside the Best Sellers, and across from the Government Documents.

New Books – There are two areas in the lobby that are specified for new acquisitions. These books are specially marked by Technical Services. Student Assistants should make sure that they are shelving materials in the proper location. This can be double checked on WorkFlows.

Display Materials: Displays are changed periodically. The materials put on display will have their location changed in WorkFlows to be sure they are routed to their display location when checked in and out by patrons.
