Opening and Closing the Library

Entering the Library to Open:

Student Assistants will use the wooden employee entrance in the mornings. On Mondays through Friday, if the door is not propped open, students should knock on the door so the Access Services Supervisor or a coworker will know to open the door for them. The last Student Assistant to arrive for the opening shift should remove the doorstop.

During a weekend shift, a Student Assistant will have to check out the door key the Friday before to let themselves in through the employee entrance. The two Student Assistants working the weekend will need to arrange who will be responsible for the key.

If someone has forgotten to check out the key, if the door is not propped open, or if no one answers after knocking on the door, the Student Assistant should call Physical Facilities (765-455-9273) to ask for the door to be unlocked. If this results in a delayed clock-in, please include this information as a note on your missed punch.

Locking the Laptop Drawer & Library Glass Doors:

The Student Assistants closing the library must lock the drawer with the laptops and lock the glass entrance doors of the library. These are very important. Student Assistants are to close and lock the drawers, library glass doors, interior glass double doors, copy room door, and study room doors. Both Student Assistants are responsible for security, and therefore both must double-check the locks before leaving.

OPEN ON FLOOR

Log in to the Circulation Desk computers (login info in gray cabinet)
Clock in on TIME
Turn on all of the lights, including the display case and the slideshow monitor Unlock and open all interior doors (ILCs, Copy Room, upstairs study rooms, Librarian’s area) and turn on study room lights
Unlock drawers, bring lost and found items to Access Services Supervisor Check paper supply in all copiers and printers and fill if needed
Check the book drop for returned items. Discharge them under the previous day that the library was open. Turn on the dehumidifier in the Copy Room (Low setting)
Restart the looping slideshow on the lobby display monitor (if needed) Look for leaks, damage, or anything amiss. Report to Access Services Supervisor if needed
Unlock and open the glass doors (up to five minutes early if all is ready) Open all interior doors and unlock elevator

CLOSE AT DESK

CLOSE ON FLOOR

30 minutes
Close one set of the glass entrance doors During final headcount, inform users that the library will close in 30 minutes
Turn off display case lights and the slideshow monitor Lock and close empty ILCs & lock the Writing Center
20 minutes
Flash all light switches marked with tape Turn off projectors & erase whiteboards
15 minutes
Check the book drops Empty the second floor, including study rooms and restrooms, close study rooms
Turn off upstairs lights once vacated; Inform all users that the library will close in 15 minutes
10 minutes
Document any issues or FYIs via email to Britney Turn off dehumidifier and lights in Copy Room and lock it
Lock the laptop drawer behind circulation Make sure all unoccupied chairs are pushed in and all trash is thrown away
5 minutes
Plug in the iPad to charge overnight Lock the elevator and the Gerbil Tube
  Check both levels for users
Closing
Close and lock the glass entrance doors; double-check laptop drawer
Turn off lights
Clock out in Kuali TIME
Logout and restart Circulation Desk computers
Notify librarian on duty that you have closed and are leaving (if applicable)
Check the entrance doors & side door to make sure they are locked
Ask IUPD for an escort to your car if needed
