Renewing Library Materials
Users may bring materials to the Circulation Desk to have the materials renewed.
Phone Renewals Procedures
- Workflows Circulation module/ Common Tasks/ Renew User
- Input user library card number in Get User Information line and click on display user button at bottom of screen.
- Ask the user to verify name and other information (address, phone number, e-mail). (Don’t provide the name and information – we want them to verify that the individual is the correct user.) The name and information to verify should be available on the screen.
- The screen will show the items eligible for renewal number and list items currently checked out and eligible for renewal on the screen.
- Make sure the Select All is checked. (The Select all as seen should NOT be checked because you have not seen the item(s).) In the list of items you will notice that the Renew box now has a check mark for each item.
- Click on the title section and this will arrange the titles in alphabetical order by title.
- Verify items (title and barcode number- last four digits) to be renewed with the user.
- Click on the Renew Selected Items button at the bottom of the screen.
- If some items were not renewed they will appear on the not renewed section of the screen.
- Provide user with new due date. In addition make sure that the user knows they are responsible for knowing this due date since the item was not renewed in person at the library.
- An additional way to verify that everything has been renewed is to Users/ Display User information and click on the Checkouts folder for the list of materials and date due.
- When completed click on the close screen button at the bottom of the screen.
Reasons why an item may not be able to be renewed:
Some issues are noted below:
- The item has reached the renewal limit it will not allow a renewal. Please tell the user that the item cannot be renewed and needs to be returned.
- If the item has a hold or recall on the item, it will not allow a renewal. Please tell the user the item cannot be renewed and must be returned.
- If the item is already overdue a screen may appear with a fine amount. Please disregard this as we do not charge fines for overdue materials unless they are lost and need to be replaced.
Other Circumstances
Note: Indiana University affiliated users (Students, Faculty, and Staff) should process their own renewals using the My Account feature with IUCAT. If for some reason they are unable to renew materials or they do not show up within their My Account please send a detailed email to the Access Services Supervisor which includes:

- user name
- library card number
- University ID number
- barcode number on item(s) with brief titles of materials that need to be renewed
- Your name and the date of the issue
