7 Making a flyer

Now that their travel is arranged you need to get their information for the flyer.

For the flyers we need a photo, a bio and an abstract from the paper they plan to speak on.

We can pull their bio and even their photo from their current school’s bio if needed, but it is best practice to email them first for permission.

With how early we often ask for this information, they may not have their abstract ready and you will need to contact them closer to their visit.

Getting the flyer made

The flyers are housed on Adobe Express. You may need to ask for permission to access them.

They should already be updated for the new semester. First you want to find the correct Template for your speaker. All templates say Original on it.

Once you are on the correct page, make a duplicate

Change the name of the page by removing Original part and put in the speakers name.

From here you will confirm that the speaker is speaking in the room and at the time and date listed.

Add the speakers photo and fit it over Winston’s picture.

Update their Name, title and bio.

Update their abstract title and the portion you are keeping of their abstract if you need to cut from the one provided.

From here save a PNG copy and a PDF copy in their perspective folder in the O’Drive. There are some issues with adobe downloading the PDFs. If it errors try deleting the photo on one of the older flyers and try again.
