This resource is designed to empower faculty and staff with the knowledge and skills needed to effectively operate the current financial systems at IU. This book provides instructions and best practices to ensure smooth navigation and optimal use of IU’s financial systems. Review this book in full for resources on the appropriate application of financial documents, information about the financial systems used at IU, the different levels of access and roles for these systems, and the scope of support the Office of the University Controller (UCO) provides for system integrations between financial and non-financial systems at IU.

Financial Processing Documents: This portion of the book will provide guidance on financial processing documents available in the Kuali Financial System (KFS). Guidance will be provided on where to locate each document in KFS, the appropriate usage for each document, embedded rules, and best practices when initiating, submitting, reviewing, and approving these documents.

Systems UCO Supports: This portion of the book will provide an overview of the Kuali Financial System (KFS), Kuali Time, and the payroll module within the PeopleSoft’s Human Resource Management System (HRMS). This includes information about the types of users within each system, resources, and how the Office of the University Controller supports users within each system.

Systems Access and Roles: This portion of the book will provide information on the user roles for each financial system UCO supports, prerequisites for access to the system or certain roles, and recommended training for users within each financial system.

APIs and Other Subsidiary Systems: This portion of the book will cover Application Programming Interfaces (APIs) and integrations supported by the Office of the University Controller. This section defines an API, requirements for an API, how UCO supports current APIs, and how to submit a request to UCO for a connection between external applications and IU financial systems.

Glossary: The glossary is a repository of both general and Indiana University specific accounting terminology.
