TRACKING OUR PROGRESS

Read on to learn how the ES teams have made progress toward the goals of each Area of Focus. (Updates to come.)

OPERATIONAL EXCELLENCE

Concrete goals

  • Enhance operational efficiency and facilitate seamless communication by standardizing ES internal documentation.
  • Ensure the security and resilience of IU’s IT systems and infrastructure by implementing UITS Safe IT objectives.
  • Explore project-based metrics to provide valuable insights into the progress, efficiency, and success factors of ES projects and systems.

Specific targets for 2024

  • Enhance operational efficiency and facilitate seamless communication by standardizing ES internal documentation.
    • Develop and document the standards for a new employee onboarding process through collaboration with UITS HR business partners and other UITS divisions.
    • Define documentation standards for internal ES technical and administration documentation.
    • Research and recommend ES documentation management tools by category.
  • Ensure the security and resilience of IU’s IT systems and infrastructure by implementing UITS Safe IT objectives.
    • Review and improve account lifecycle management to significantly reduce the total number of active accounts.
    • Begin email domain alignment effort to reduce the number of non-iu.edu domains.
    • Roll out DUO Verified Push to all faculty, staff, and students.
  • Explore project-based metrics to provide valuable insights into the progress, efficiency, and success factors of ES projects and systems.
    • Publish dashboards from the Metrics task force and launch production operations and onboarding for collection of these metrics across enterprise systems.
    • Define project implementation metrics and go-live success metrics for the Stellic implementation and build dashboards to track and analyze those metrics.
    • Document and share what was done with and what was learned from the Stellic metrics project.

PREPARING FOR THE FUTURE

  • Take significant steps to operationalize the ES integration strategy and recommendations to mature our integration capabilities.
  • Research and create an identity and access management strategy to further our strategic understanding of the internal and external landscape.
  • Empower IU faculty, staff, and students by enhancing generative AI tools using institutional data sets.

Specific targets for 2024

  • Take significant steps to operationalize the ES integration strategy and recommendations to mature our integration capabilities.
    • Establish a Center of Excellence consisting of appointed members to offer strategic direction and best practices.
    • Draft a funding proposal, create a Request for Proposal (RFP), assess responses, and select an iPaaS platform.
    • Form an integration team and initiate training on the designated platform.
  • Research and create an identity and access management strategy to further our strategic understanding of the internal and external landscape.
    • Research the capability of having a backup to IU Login hosted in the cloud and recommend next steps.
    • Research cloud-based identity and access management solutions compared to I2 Trusted Access Platform to develop an IAM roadmap for the future.
    • Implement a governance model for prioritizing IAM activities.
  • Empower IU faculty, staff, and students by enhancing generative AI tools using institutional data sets.
    • Create a working group to analyze available data sources and identify the most commonly used institutional data sets on which to train generative AI.
    • Train generative AI models to tap into these data when asked relevant questions.
    • Create a POC of a user experience that taps into this trained AI backend within IU Mobile.

ENABLING UNIVERSITY-WIDE STRATEGIC INITIATIVES

  • Implement Digital Strategy Initiative (DSI) recommendations.
  • Support the Vision 2030 Student Success and Opportunity pillar.
  • Execute the IUPUI Split Technical Implementation Plan.

Specific targets for 2024

  • Implement Digital Strategy Initiative (DSI) recommendations.
    • Document requirements to provide guidance for creating web content and websites (training and attestation).
    • Deliver, communicate about, and begin implementing the enterprise content strategy, using IU Indianapolis’s new WCMS instance as a model.
    • Form plans for applying the content strategy to the remaining gateway websites.
  • Support the Vision 2030 Student Success and Opportunity pillar.
    • Establish the enterprise SMS service offerings, adoption and usage strategies, and best practices.
    • Launch the Stellic Degree Management platform to undergraduate students in the fall 2024 term to support registration planning and enrollment for 2025.
    • Complete a fit-gap analysis on advising functionality in the Stellic system and finalize a plan for transitioning advising records and management to this new platform into 2025.
  • Execute the IUPUI Split Technical Implementation Plan.
    • Populate identity management with Purdue University at Indianapolis faculty, staff, and students.
    • Support capability for Purdue University at Indianapolis students to enroll in IUI classes.
    • Update IU systems to support Purdue University at Indianapolis faculty, staff, and students for campus services—housing, parking, dining, libraries, and lab access.
